Position Summary The e-Filing Specialist manages electronic court filings for the firm’s litigation teams, submitting documents through the proper e-filing systems in compliance with each jurisdiction’s rules and deadlines. This role includes coordinating electronic service, handling attorney admissions, and completing required forms. The e-Filing Specialist works directly with attorneys, executive assistants, paralegals, and court personnel to ensure filings are correct, prompt and compliant with court rules. As the primary contact for filing procedures and related questions, the specialist collaborates with internal teams and external vendors to maintain filing standards and ensure efficient processes. Job Duties and Responsibilities Serves as a resource on all types of electronic filings, answering questions about e-filing procedures and requirements from executive assistants, paralegals, attorneys, and other docketing teams throughout the firm. Develops expert knowledge of court filings and standards; resolves court filing questions and ensures court filings are completed accurately. Communicates directly with court/administrative offices to confirm rules and procedures. Acts as a liaison between the firm’s attorneys and court personnel. Reviews basic documents to ensure compliance with applicable rules. Performs all aspects of court services functions, including print and electronic filings, court rule updates, and engagement of attorney service companies relating to delivering the filings to courts and counsel, service of process and subpoenas. Communicates with the Docketing Department regarding filing-generated deadlines and due dates to ensure proper calendaring for attorneys and case teams. Communicates with litigation teams in advance of filings, coordinates staff and resources needed for filing, confirms cite-checking has been completed, reviews the filing for conformity with court rules, files with the court, and delivers courtesy and service copies, when necessary. Monitors status of submitted filings and updates attorneys. Assists in the downloading of documents and updating internal databases. Locate specific legal documents or past case filings from the firm’s electronic systems on request. Collects and securely stores attorneys’ filing credentials, maintains accurate information, creates court admission accounts for attorneys and helps resolve any credential issues. Research and provide routine announcements of court rule changes to appropriate firm personnel (or staff). Engages filing vendor services, manage firm accounts and processes vendor invoices for payment. Assists in establishing and documenting procedures for a newly formed team. Other duties as assigned. Requirements Education: High School Diploma or equivalent required. College degree or equivalent work experience is preferred. Experience: Five plus years experience in a high-level administrative support position. Experience in a law firm or other professional services firm preferred. At least three years of experience executing complex court filings in a multi-jurisdictional law firm. Skills: Ability to research rules and procedures. Ability to work independently in a fast-paced environment with a consistent high level of accuracy. Knowledge of PACER, NEXTGEN Court Alert and other electronic court databases a plus. Strong analytical and problem-solving skills, including the ability to identify gas in existing processes and propose effective solutions for an evolving team. Ability to organize and prioritize multiple assignments, using judgment and initiative to accomplish results. Produce accurate work while meeting time-sensitive deadlines. Strong verbal and written communication, interpersonal skills, teamwork, attention to detail and customer service skills. Ability to interact effectively and professionally with all levels of management, staff and a variety of external entities including clients and prospective clients of the Firm. Ability to adapt quickly to new processes with a focus on continuing improvement. Ability to sit and/or stand for prolonged periods, intense eye usage, and finger, hand and wrist dexterity associated with prolonged computer use. Working Conditions: Works remotely. Occasionally called upon to work hours in excess of your normal daily schedule, particularly in relation to paid time off coverage. Potential for in-office work requests as needed, so proximity to a Reed Smith office is required. Pay Ranges: This represents the presently anticipated low and high end of Reed Smith’s pay range for this position. Actual pay may vary based on various factors, including but not limited to location and experience. This is a non-exempt position.
