Overview

The Testing Center Specialist plays a critical role in supporting students’ academic journeys at Everett Community College. This position is responsible for ensuring the efficient, accurate, and secure administration of various academic and placement tests. The Testing Center Specialist provides excellent customer service, interprets and applies institutional policies, and collaborates with different departments to create a supportive and seamless testing experience for students and faculty.

Duties & Responsibilities
Program Coordination

  • Administer and proctor a wide range of tests, including placement exams, course exams, and high-stakes certifications.
  • Maintain strict security and confidentiality of all testing materials and student records in compliance with FERPA regulations.
  • Assist students with the testing, placement, and advising process, providing clear instructions and troubleshooting any issues.
  • Interpret and explain state, federal, and institutional policies to students and staff.
  • Coordinate with instructors and academic departments to schedule and deliver exams.
  • Accurately record and report test results in the student information system.
  • Contribute to the continuous improvement of testing center operations and student support services.
  • Act as a resource for the Enrollment Services department on enrollment-related processes.
  • Assists Program Manager in ensuring daily delivery of services and maintaining schedules for testing.
  • Provides training and serves as lead in absence of Program Manager for work study employees.
  • Leads the Testing Center in the absence of the Program Manager.

Policy Compliance

  • Interpret and apply test and enrollment policies, ensuring adherence to state and institutional guidelines.
  • Communicate procedural updates to staff and assist in revising forms to align with compliance requirements.
  • Ensure departmental compliance with FERPA regulations in all processes and transactions.
  • Maintain accurate records of transactions.
  • Ensure the proper distribution and use of forms.

Collaborative Problem-Solving

  • Liaise with multiple departments to resolve student issues and ensure accurate communication.
  • Troubleshoot placement, registration, and enrollment challenges, providing actionable solutions.
  • Guides students through complex processes, offering alternatives and explaining implications of decisions.
  • Assist with workflow coordination and provide support for data entry during peak times.

General Duties

  • Provide excellent customer service via multiple mediums, including in-person, email, and phone.
  • Participate in departmental initiatives to improve operations and student support.
  • Perform other duties as assigned to support departmental operations and meet campus needs.

Qualifications

Required Education and Experience:

  • Associate’s degree with coursework in business, education, or a related field, or equivalent experience.
  • Two years of experience in student or testing services, program support, or similar responsibilities.

Demonstrated Knowledge, Skills, and Abilities:

  • Proficiency in navigating and troubleshooting student information systems, such as ctcLink.
  • Knowledge of state and federal policies related to enrollment.
  • Skills in providing high-quality customer service to diverse populations.
  • Ability to interpret and apply policies and regulations accurately.
  • Ability to manage and prioritize multiple tasks with attention to detail.
  • Strong in-person and electronic communications skills.

Preferred

  • Bachelor’s degree in business, education, or a related field.
  • Experience working in a higher education setting.

  • Part-time position, no more than 19 hours/week or 69 hours/month
  • Temporary position, not to exceed 1 year of employment or 1050 total hours worked
